Breakdowns, urgent repairs, storm damage and jobs that suddenly get the green light don't wait for a convenient booking window. When you need beds for a crew tonight or tomorrow, the temptation is to grab the first thing you find. Sometimes that works out. Often it means paying more than you needed to for somewhere too far from site, too small for the team or without parking for the vans. A clear five-minute brief and one good request beat an evening of phone calls. Here's how to do it.

Get offers for your crewWhen something's gone wrong and a crew needs to be on site first thing, it feels like there's no time to plan. But the five minutes you spend deciding what you actually need will save far more than five minutes later — because you won't waste time on places that were never going to work, and you won't end up moving the crew halfway through the job.

It's natural to assume that booking at the last minute means paying a premium. Sometimes it does, especially during busy periods or near popular events. But for holiday homes it often works the other way. A home with no booking for tonight earns nothing for its host. If the alternative is an empty night, a fair offer from a crew can be very welcome.
That's why short-notice requests can find good value — particularly midweek and outside the main holiday season. The more flexible you can be on exact location and property type, the more homes can fit, and the better your chances of a good price.
Tip: Being open to a static caravan, lodge or serviced apartment for the first few nights can widen your options a lot at short notice.
On emergency work you often don't know how long you'll be there. The temptation is either to book far more nights than you might need, or to book one night at a time and hope. Neither is ideal.
A better approach is to secure the nights you're confident about, and talk to the host about extending as soon as you know more. Ask up front how extra nights would be priced and how much notice they need. It's far easier to extend a stay that's going well than to move a tired crew to a different place mid-job.
Short-notice crews often arrive late — after a long drive, after a shift elsewhere, or after the emergency has been made safe. Before you book, check how check-in works. A key safe or smart lock means nobody has to wait for a host to meet them, and the crew can get straight to bed.
It's also worth checking the basics are in place for a late arrival: beds made up, heating on in winter, and clear directions to the property and the parking. A quick message to the host before you set off goes a long way.
Different types of accommodation suit different short-notice situations. Here's a rough guide.
| Option | Good for | Watch out for |
|---|---|---|
| Whole house | Crews of three or more staying several nights | Parking and check-in times |
| Serviced apartment | One or two people in a town or city | Van parking in city centres |
| Static caravan or lodge | Crews near the coast or countryside, outside peak season | Park rules and opening dates |
| Hotel rooms | A single night while you find something better | No kitchen, limited parking |
Ringing round at short notice is slow and frustrating. You explain the same thing over and over, half the numbers go to voicemail, and you lose track of who offered what.
On Offer2Stay you can post the site area, crew size, dates and budget once, and hosts with suitable homes nearby can send private offers. If you find a home you like in search, you can also send an offer directly: hosts set the lowest price they'll accept, so an offer at or above it books instantly. Posting is free, there are no guest booking fees, and you only pay when a host says yes.
In a hurry, it's easy to accept the first offer that looks reasonable and only spot a problem when the crew arrives. Before you confirm any short-notice booking, take two minutes to check the basics with the host. A short message on the platform is enough, and it gives you a record of what was agreed.
Confirm the address and postcode, and that the crew can get there at the time they're arriving. Check how many beds there are and how they're set up. Confirm parking for every van. Ask how check-in works, especially for a late arrival. Check what the total includes, and ask how extra nights would be priced if you need them. If all of that lines up, book it and get the crew on the road.
If short-notice jobs are a regular part of your work, it's worth setting things up so the next one is easier. Agree who is allowed to book and on which account. Keep a short brief template ready to fill in. And think about a trade account, which lets companies that book regularly set up their team and booking rules in one place.
None of that helps at 9pm on the night of an emergency — but it means the next one goes more smoothly.
Yes, if a host has availability. Offering at or above a host's lowest price books instantly; otherwise post a request and hosts nearby can respond.
Book the nights you're sure of and ask the host about extending. Agree how extra nights will be priced up front.
Not necessarily — an empty night is lost income for the host, so short-notice offers can be good value. Compare the total for your crew.
Ask the host. Many homes have self check-in with a key safe or smart lock.
